Communication Standards For Successful Project Delivery

We believe communication – whether internal or external – is critical to ensuring the smooth execution of a project, particularly one that deals with multiple sites, aging infrastructure and on-going operation during construction.

According to the Project Management Institute (PMI), of the projects that fail to meet their original business intent and goals, half of the unsuccessful had ineffective communications.

Effective communication is consistently ranked as a critical success factor by most project managers. Organizations with effective communication “risk 14 times fewer dollars than their low-performing counterparts.”1

Standardized Communication Plan

We approach each project with a standardized communication plan that is adaptable to suit the overall needs of the various stakeholders on the project. This approach allows us to successfully and effectively contribute to highly complex institutional projects.

Working with client representatives, we clearly define project goals, functional requirements and budget needs to ensure a smooth transition from planning and design to construction and project completion. From the outset of a project, we establish a communications hierarchy with broad administration, user groups and internal clients, according to their specific needs and availability.

This hierarchy helps us to define appropriate levels of involvement at various stages. It is a basis from which we can develop a plan that specifies proposed meeting frequency and timing, required participants at various stages, reporting systems, board presentation schedules, approval processes and communications milestones.

Examples of how an effective standardized communications plan can influence a project’s success:

  • Proactive, well-structured communication plays an important role in achieving positive responses from funding and donor groups.
  • Open and informed dialogue with key stakeholders and regulatory bodies help facilitate approvals and relationships.
  • Precise and detailed information in contract documentation reduces the chance of misinterpretation on the part of bidding contractors.
